What should you ask an event photographer before booking?
Before booking an event photographer, check three things: whether the portfolio fits your event, whether the proposed coverage fits your schedule, and whether the finished images will meet your needs. A clear brief helps you compare answers and avoid assumptions.

Can I see coverage of an event like mine?
Look beyond a single favorite image. Ask to see examples of speakers, groups, audience reactions and the room itself. Compare the lighting and setting with your venue: a daytime meeting and an evening reception present different conditions. Identify the balance of candid photographs and posed portraits you prefer.
Who will photograph the event, and what will they cover?
Confirm who is attending, the agreed arrival and finish times, and whether your event needs more than one photographer. Share simultaneous sessions and activities in separate rooms. Decide which takes priority if one person cannot cover both, and identify the organizer who can approve a change on the day.
What information do you need before the event?
Prepare the schedule, venue address, access instructions and a short list of essential photographs. Provide a contact who can identify important guests and assemble groups. What will we receive, and when?
Ask about image selection, editing, file sizes, delivery method and the agreed delivery date. Can the images be used for our intended purpose?
Describe where the photographs will appear: a private gallery, company website, newsletter, press materials, sponsor report or advertising campaign. Confirm the agreed usage and whether third parties will receive files. Give the photographer any brand requirements, preferred crops or publication specifications in advance.
What is included in the total, and how do we reserve the date?
Ask for the coverage, deliverables and any extra charges to be set out clearly. Check how additional time, travel between venues and a changed date are handled.
