How much does event photography cost in NYC?
Event photography is quoted around the work involved: the schedule, location, number of photographers, finished images and how you plan to use them. Ayant Studio provides custom event quotes. For an accurate price, send the date, venue and coverage requirements.
For a useful comparison, send each photographer the same brief. A lower headline price may cover fewer hours or different deliverables. Start with the event photography portfolio and service details, then use this checklist to define what you need.

What affects the quote?
- Coverage hours. Specify the first and last moments you need photographed. Include room details before guests arrive, speeches, presentations and planned group portraits.
- Rooms and overlapping activities. Two sessions happening at once require a coverage decision. Ask whether one photographer can meet your priorities or whether additional coverage should be quoted.
- Venue and travel logistics. Share the full address, check-in instructions, loading access, parking information and any movement between venues. Ask which related costs are included.
- Finished photographs. Confirm the image selection, editing, file formats, resolution and delivery method. Do not assume every exposure or RAW file is included.
- Image use. Explain whether images are for a private gallery, company website, press coverage, sponsor reports or advertising. Ask for the intended uses to be reflected in the agreement.
- Deadlines and extra services. Mention a next-day announcement, team headshots, prints or other requests before the quote is prepared. Ask about availability and any additional charge.
How many hours should you request?
Build a timeline around the moments that matter. If arrivals begin at 6 p.m., speeches start at 7 p.m. and an award presentation ends at 8 p.m., coverage that ends at 7:30 p.m. would miss the award. This is a planning example, not a recommended package length. Include setup access and confirm the agreed start and finish with your photographer.

Check the total against the same scope: dates, hours, photographers, deliverables, image use and deadline. Ask how extra time is approved and charged, what is needed to reserve the date, and what happens if the schedule changes. Keep those answers with the quote.
